PAM-STORAGE DMS combines individual documents in logical electronic files and manages
them throughout their lifecycle.
Virtual files and storage structure.
PAM-STORAGE DMS uses the keywords of archived documents,
adds defined organizational criteria, and creates digital files for individual departments.
In practice, this means that an incoming invoice, for example, is available simultaneously
in the digital accounts payable file as well as in the procurement file.
The incoming invoice is stored only once in the archive, but can be used by different
departments. This technology guarantees the consistency of information throughout
the company.
Versioning
Version management is an integral part of
PAM-STORAGE DMS.
As soon as an archived document or its keywords are modified,
PAM DMS automatically generates a new document version as well
as a log entry in the history table stating the date, time, and author.
All document versions can be retrieved chronologically. Only the most recent valid
version of a document can be changed, though.
Retention periods
Certain types of documents, like invoices for example, have to be preserved over
a certain period of time by law. PAM-STORAGE DMS manages retention periods and thereby
ensures that business-critical documents are not deleted before a specified date. |
