The PAM-STORAGE
DMS workflow extension is used for prompt
and consistent processing of business transactions. PAM STORAGE WFL supports the
‘production workflow’ which controls processes based on pre-defined procedures and
the 'ad-hoc workflow' in
which the user manually controls processes during runtime.
Typical areas of application for PAM-STORAGE Workflow are:
Incoming mail
A centrally scanned document (e.g. electronic incoming mail) is
assigned to a department or employee name and passed on to
the mail workflow. Employees now receive their daily mail electronically. This correspondence
is saved in the digital file
or passed on to a pre-defined processing workflow together
with a new task.
Invoice approval
The accounting department uses a workflow to sends scanned incoming invoices to
the specialized departments for verification.
The specialized departments will either release invoices for
payment or reject them. To search for folders or documents,
we provide user-definable search forms. During implementation, these forms are customized
to specifically meet all customer requirements. Currently displayed files can be
edited and printed
or new documents can be added to them.
Internal administration
PAM-STORAGE WFL is also perfectly suited to map internal administration processes.
Applications for leave or business trips
can be handled with workflows, for example.
Electronic forms
Forms are among the most effective means of organizing office
life because they are simple and straightforward. Users do not
have to stop and think about wording. All they have to do is fill
in the blanks or tick the appropriate boxes.
Forms always look the same, and the content is rapidly
understood. In PAM-STORAGE WFL, we have implemented
electronic forms. Electronic forms look almost exactly like the
familiar paper-based forms, and filling them out on screen is
just as easy as by hand. And more: Frequently used texts or addresses can be selected
and accepted from a dropdown list. Routine tasks are thus completed even faster. |

Receive, manage, visualize, and route tasks including information, documents, and
forms required for processing.
Process activities in parallel and sequentially, including co-signing by other employees.
Resubmission, deadlines, delegation, and various administrative features.

Workflow rules |
Rule-based workflows:
Route documents by evaluating
the data recorded in the form
by the user.
Ad hoc workflows:
The user controls the rule-based workflow processes during runtime
by forwarding tasks to certain
persons or groups.
Workflow properties:
Plausibility check of user input
prior to triggering the next
sub-process.
Decision-making procedure:
Qualitative (if field content x=y,
then on to z) Quantitative
(if number of open tasks per person x >= y, then pass task
on to person or group z).
Automatic delegation:
Automatic routing of new and unfinished tasks in accordance
with notice of absence of the user.
Tools: electronic forms to replace internal paper-based printed forms. |
